SAP maintenance plan

03/15/23

Let's remember that unexpected software failures cost companies time and money, and in the worst case, can even cause a temporary production shutdown.

Therefore, it's no surprise that companies invest a lot of money to avoid system failures within the organization as much as possible.

The best option to prolong the life of the equipment and improve processes is a constant maintenance plan, and predictive maintenance is also becoming increasingly important. SAP customers can access the maintenance plan offered for the improvement of their ERP.

But how does the maintenance plan work, what are the advantages and disadvantages of the procedure? Is it vital for decision-making? We will see it below.

What is the purpose of an SAP maintenance plan?

Maintenance plans are all the activities associated with inspecting and reviewing the proper functioning of the platform. For example, the plans contain dates for technical inspection and also a description of the scope of individual measures, thereby obtaining an overview of the situation.

Maintenance plans can be created individually for the different technical locations. This procedure aims to ensure the proper functioning of individual systems and assemblies and to avoid unexpected failures.

Maintenance plans as part of SAP Plant Maintenance and Management

Maintenance plans are part of the SAP PM module (SAP Plant Maintenance or in Spanish SAP Gestión y Mantenimiento de Planta). Each maintenance plan generally consists of different programs and dedicated information about business operations. Among them we find:

  • planning data
  • maintenance jobs
  • maintenance requests

Planning Data

The planning data deals with the maintenance cycle of the respective object, which can be created individually or according to the maintenance strategy. Depending on the requirement, it is also possible to assign one or more counters to the SAP maintenance plan.

Maintenance Jobs

In this area, general information such as planning data, work plans, and reference objects is recorded. In addition, information about the respective location and quota can also be saved here, which can also be changed if necessary.

Maintenance Requests

Existing maintenance plans typically have scheduled maintenance calls. If necessary, these calls can be viewed within the maintenance plan, making visualization in the corresponding Web Dynpro applications also possible.

All maintenance plans can be activated, deactivated, and added to the favorites list as needed. Plans that are no longer necessary can also be marked for deletion.

Functionality

The prerequisites for creating a maintenance plan are the existence of a work plan and a maintenance strategy.

If these prerequisites are met, the maintenance plan can be created in SAP GUI. Maintenance plans can be implemented for both individual technical locations and equipment.

In addition, the module offers the possibility of creating uniform test forms. These forms can be generated automatically and stored within the system. Authorized personnel have access to the necessary information at any time, with automatic generation of work plans for upcoming tasks being available.

Types of maintenance plans

According to individual requirements and circumstances, the following types of maintenance plans can be created:

  • Strategic plans
  • Maintenance plans with reference to framework agreements
  • Maintenance plans for the provision of services in purchasing
  • Maintenance plans for the management of regular services
  • Activation documents

Advantages of having an SAP maintenance plan

The use of the component allows for better transparency and cost control; the SAP user is in complete control of the situation.

All maintenance measures are defined in advance and recorded in complete detail by service technicians. The use of this type of plan is valuable for critical and high-quality production machines and systems, whose failure would result in significant financial damage and operational disruption.

Disadvantages

The introduction of maintenance plans does not automatically improve maintenance work and the quality of the associated service. Rather, work plans and employee resources must be designed in such a way that potential problems can be prevented through constant checks. It is important to determine the correct scope of the maintenance measures.

In addition, maintenance work must also be carried out at regular intervals by competent service technicians. SAP maintenance plans are therefore only a tool that can help a company improve maintenance efficiency.

In conclusion, we could say that SAP maintenance plans can sustainably increase the lifespan of machines and systems and therefore contribute significantly to the company's success. However, it is necessary to plan capacities in advance and adhere to agreed maintenance schedules.

The implementation itself requires little effort but offers great benefits for the company. However, from the point of view of digitalization and the possibilities it brings with Industry 4.0, predictive maintenance should receive special consideration when using maintenance plans.

The better problems and errors can be automatically detected and recorded in advance, the less manual maintenance effort there will be during continuous operation.
