What is SAP PY and what is it for?

05/22/23

SAP HCM (SAP Human Capital Management) is a comprehensive enterprise software module developed by SAP, a leader in business management solutions.

SAP HCM focuses on human resources management and offers a wide range of functions to manage the entire employee lifecycle, including hiring, payroll, personnel administration, talent development, performance management, and more.

By integrating processes and data related to human capital, SAP HCM helps organizations optimize their workforce management and improve operational efficiency in the human resources area.

In this context, you should know that SAP HCM is composed of several submodules, which are:

OM:

It is the section of SAP Human Capital Management that enables the administration of the company's organizational structure.

PA:

It is responsible for keeping up-to-date the data of each employee.

TM:

It manages working hours, absences, and holidays.

PY:

It is the module responsible for carrying out all procedures related to payroll management.

RC:

Through this component, the company manages the selection and hiring process of personnel.

In this article, we will learn more about the SAP HCM PY submodule.

Why is SAP HCM PY and payroll areas important?

The HCM submodule is important because payroll areas are organizational units responsible for carrying out payment settlements. They group employees who share the same payment date and the same settlement interval.

It is about classifying employees according to the period of time in which their payroll is calculated and the date on which they are paid (for example, daily or monthly employees).

Furthermore, through the use of these payroll areas, it is possible to separate employees who are paid in the same period of time, but who have specific payment concepts or deductions from the payroll department (for example, monthly employees or executives).

The SAP system for the Human Resources module uses payroll areas to group employees whose payrolls must be calculated at the same time and to determine the calculation period according to the established dates.
It is important to note that employees from different personnel areas can belong to the same payroll area, as they are distinct groupings.

For example, a company may pay its employees monthly or weekly, so it would be necessary to create at least one weekly payroll area and another monthly payroll area. The same applies if payments are to be made at different times.
The payroll area is used as a selection criterion in many payroll calculation processes. For example, in the execution of payroll calculation, in the issuance of pay slips, and in the evaluation of reports on the execution of payroll calculation.

How to parameterize a payroll concept in the SAP PY module

To parameterize a payroll concept in the SAP PY module, you must follow these steps:

  1. Access SAP and go to the payroll module (PY).
  2. Navigate to transaction PM01, which is the transaction used to create and maintain payroll schemas.
  3. On the main screen of PM01, create a new payroll schema by clicking the "Create" button or select an existing schema to modify it by double-clicking on it.
  4. In the payroll schema editing screen, go to the "Payroll Concepts" or "PCR" (Payroll Calculation Rules) section.
  5. In the list of payroll concepts, click the button called "New" to add a new concept or select an existing one to modify it.
  6. In the payroll concept editing screen, complete the required information, such as the concept name, description, category, calculation type, formulas, etc. This is where you can define the specific calculation for the payroll concept.
  7. Define the characteristics of the payroll concept, such as periodicity, prorated calculation, maximum and minimum limits, rounding rules, etc.
  8. Configure how the payroll concept is accumulated in the payrolls, that is, whether it is cumulative, non-cumulative, periodic, etc.
  9. Save the changes made to the payroll concept.
  10. Repeat steps 5 to 9 to add or modify other payroll concepts as needed.

Once you have parameterized the payroll concepts, you can use them in the remuneration schemas to perform the appropriate calculations during payroll processing.

It is important to note that the steps may vary slightly depending on the version and specific generation of SAP PY you are using. It is also recommended to have solid knowledge of SAP configuration and parameterization to perform these steps correctly.

What is a payroll CC in SAP?

In SAP, a "payroll CC" refers to a concept known as a "Payroll Cost Center". A Cost Center (CC) is a structure used in accounting and cost control to assign and track costs incurred in an organization.
In the context of payroll, a payroll CC is used to group and assign the costs related to personnel administration and payroll execution. This includes salaries, bonuses, benefits, taxes, and other expenses related to employee payments.

Configuring a payroll CC in SAP allows organizations to have a detailed view of the costs associated with their employees' payroll. They can analyze and control expenses in different areas, departments, or divisions of the company. In addition, the allocation of costs through payroll CCs can help in the accurate accounting of costs related to payroll in financial reports.

A payroll CC in SAP is a cost center used to group and assign the costs related to employee payroll in an organization, which facilitates tracking and controlling expenses in this area.
