What is the difference between a Key User and an SAP consultant?

Many may think that the Key User is a kind of internal SAP consultant and the truth is that one figure has nothing to do with the other.

Let's see, the consultant is the person who specializes in the tool, configuring it, adapting it and maintaining it, the Key User dominates the day-to-day of the company.

They don't need to know how to program, but they should have a clear understanding of how SAP should work to meet the needs of their area.

In short: the consultant knows the ERP; the Key User knows the company.

Consult User vs Key User/Key user

Understanding the difference between a consult user and a Key User (Key User) in SAP is vital to know how the system usage is organized within a company:

Consult User: operational profile

This type of user has limited permissions and their main function is to consult information within the system, such as reports, account statements, movements or inventories. The consult user does not make modifications or configurations; they simply access the data they need for their daily work.

It is very common in administrative, accounting or sales profiles who only need to review information without intervening in processes.

Key User: strategic and technical profile

On their part, the Key User not only consults: they also have a deep understanding of the internal processes of their area, coordinate with the implementation team, and serve as a liaison between end users and SAP consultants.

Their role is more complete, as they can participate in system configuration, testing, training of other users, and in the validation of new functionalities.
While a consulting user passively uses SAP, the Key User acts as a bridge between technology and operations, helping the system function aligned with business needs.

Role of a Key User in SAP

As we have explained, a Key User does not exclusively refer to SAP users, but given that it is one of the most used ERPs, it is very common to hear about them in various companies.

This worker will be responsible for acting as a link between the SAP consultants, experts in the implementation and operation of the tool, and the end users, employees of the financial department who will carry out the processes on a daily basis in SAP.

Requirements of the Key User in SAP

• They must have a perfect knowledge of the company's processes and routines.
