What is the process of electronic invoicing using SAP Business One? We explain everything below.
The issuance of fiscal receipts in Mexico is regulated by the Tax Administration Service (SAT), which establishes tax provisions that must be met within certain periods.
When a company starts operations, it has the option of issuing invoices in electronic or paper format, according to the standards established by the tax authority; however, each document must be perfectly validated to comply with the tax regulations.
In this process, there is a need to issue or issue an invoice.
Electronic invoices
Electronic invoices, also known as Digital Fiscal Receipts via Internet (CFDI), offer the possibility of issuing proof of a monetary transaction in a systematized manner and endorsed by the tax authorities.
To issue a CFDI, it is necessary to comply with the requirements requested by the SAT for any electronic invoicing system:
- Advanced electronic signature
- SAT digital seal
- QR code that allows verification of the authenticity of the receipt.
Paper invoices, although still permitted for certain taxpayers, are subject to greater control by the tax authorities; but for the purposes of this article we will focus on electronic invoicing, which is an increasingly common process thanks to its efficiency and speed.
The essential elements required by law for any type of invoice are:
- Date of issue,
- Taxpayer ID (RFC) of the issuer and recipient,
- Description of goods or services,
- Total amount.
The tax obligations of Mexican companies
In Mexico, companies must deliver to the SAT (tax authority) each period of time, their stamped electronic invoicing, their accounting catalog, balance sheets, and, in some cases, the folio auxiliary associated with the electronic invoicing issued and/or received.
For the certification of electronic invoices, companies must rely on an Authorized Certification Provider (PAC), but there are also other procedures that are carried out directly through the SAT portal, which offers immediate access with some access keys such as the customer's email address and their respective password.
The role of SAP Business One in electronic invoicing
SAP Business One has included from its early versions, an effective module to generate electronic files, a fundamental piece in everything related to the electronic invoicing process.
This module can generate digital documents and thereby facilitate integration with other systems through electronic data interchange (EDI). With this electronic format module, it is possible to receive bank statements, disperse payments and create electronic documents.
For the generation of these documents, SAP has predefined formats that in themselves comply with the minimum requirements for electronic invoicing in the different countries where it operates and with them guarantee the fiscal compliance of businesses.
It is important to mention that these formats do not cover all possible scenarios, especially with the passage of time and the new laws that come into effect in Mexico.
When this happens, it is necessary to develop and program a complement with which SAP Business One can work and this is only possible in collaboration with authorized SAP invoicing providers.
In most cases, the predefined formats are used. However, when tax regulations change and the patches of the new versions of SAP do not yet include the necessary updates, it is necessary to resort to additional tools such as Factur-E and Conta-E, which help to adapt the system to the tax regulations that come into effect.
Factur-E and Conta-E

Factur-E and Conta-E are tools that do not operate directly on the functions of SAP, but work from the reading of the database, thanks to this, they take advantage of the stored information and allow them to have a correct extraction of missing data for the electronic invoicing and accounting files.
Thanks to this, it is easy to access and manage data, which improves efficiency in tax processes and provides a solution in your invoicing process.
One of the great advantages of these tools is the connection with various PACs, which allows you to change providers in case of any problem, increasing the probability of stamping since you have a pool of PACs to choose from.
In addition to resolving electronic invoicing issues, these tools also make the administration of electronic accounting more efficient by providing data analysis services for tax declarations.

In the case of Conta-E, there is a module for the administration of supplier invoicing for a product. It reads invoices received via email, analyzes the purchase made, and allows you to automatically associate billing data within SAP, enabling the integration of accounting processes.
It also gives you the option to verify if suppliers have tax problems or are on the SAT's blacklists, and, if necessary, allows you to cancel the payment or invoicing process so you do not incur a tax crime.
Another advantage of Conta-E is the possibility of contracting additional analytical services based on supplier accounting and invoicing, this helps to have a deeper vision of the finances and the tax processes that users must comply with.
So, is your invoicing limited with Business One?
