Learn what this role entails and the requirements to receive this distinction among SAP users.

If you work in a company that uses an ERP like SAP, you may have heard of the role of Key User or key user. In this article, from Xamai we explain what this position consists of and what its functions and characteristics are. Are you interested?

The figure of Key User, also known as Super User or Key User in Spanish, is a role played by people who have a decisive role in the implementation and selection of new software in a company, such as an ERP.

These workers usually have experience leading projects related to ICTs and act as representatives between the departments within the business

This type of user is not an ERP consultant. Instead of being the expert in the tool who specializes in configuring it and knows its operation perfectly, the Key User is an expert in the processes and specific cases of their own company. They are the ones who know the daily concerns and needs of the organization.

What is the difference between a Key User and an SAP consultant?

Many may think that the Key User is a kind of internal SAP consultant and the truth is that one figure has nothing to do with the other.

Let's see, the consultant is the person who specializes in the tool, configuring it, adapting it and maintaining it, the Key User dominates the day-to-day of the company.

They don't need to know how to program, but they should have a clear understanding of how SAP should work to meet the needs of their area.

In short: the consultant knows the ERP; the Key User knows the company.

Consult User vs Key User/Key user

Understanding the difference between a consult user and a Key User (Key User) in SAP is vital to know how the system usage is organized within a company:

Consult User: operational profile

This type of user has limited permissions and their main function is to consult information within the system, such as reports, account statements, movements or inventories. The consult user does not make modifications or configurations; they simply access the data they need for their daily work.

It is very common in administrative, accounting or sales profiles who only need to review information without intervening in processes.

Key User: strategic and technical profile

On their part, the Key User not only consults: they also have a deep understanding of the internal processes of their area, coordinate with the implementation team, and serve as a liaison between end users and SAP consultants.

Their role is more complete, as they can participate in system configuration, testing, training of other users, and in the validation of new functionalities.
While a consulting user passively uses SAP, the Key User acts as a bridge between technology and operations, helping the system function aligned with business needs.

Role of a Key User in SAP

As we have explained, a Key User does not exclusively refer to SAP users, but given that it is one of the most used ERPs, it is very common to hear about them in various companies.

To better understand the role of this position, we will provide an example for a company that uses one of the SAP solutions, such as the ERP suite designed for growing companies SAP by Design.

Practical example of the Key User's role in SAP

Let's say that one of the areas that this company has decided to integrate into SAP is Finance. In this case, the Key User would be a worker from that company who knows the processes related to this area perfectly and how it relates to the different departments of the organization. They have experience and know which strategies and tools should be used to cover their needs.

This worker will be responsible for acting as a link between the SAP consultants, experts in the implementation and operation of the tool, and the end users, employees of the financial department who will carry out the processes on a daily basis in SAP.

Furthermore, the Key Users would have been responsible for deciding that the most suitable ERP for managing the company's various processes was SAP, as well as being responsible for organizing its implementation in the various projects.

Requirements of the Key User in SAP

The Key User is responsible for supporting a team of workers in relation to the management of SAP. For this reason, they must meet a series of requirements not only of technical knowledge of the tool but also of team and project management.

The following are some of the necessary characteristics to successfully fulfill the functions of this role:

They must have a perfect knowledge of the company's processes and routines.

Good technical knowledge of the ERP and its application to the area to be implemented is necessary. At Xamai, we train the Key User designated by the company, who then takes charge of training the rest of the team, thus guaranteeing better adaptation to the needs of each area.

They must have a good strategic vision and agility in decision-making.

It is essential that they know the skills of the team and have a good relationship with them.

A high degree of responsibility is necessary to manage the team correctly and respond to possible inconveniences.

They must have good communication and organizational skills to coordinate teams correctly.

It is beneficial to have an open mind and flexibility towards changes or innovations that may arise.

How to become a SAP Key User?

Given that SAP is one of the most used ERP systems worldwide, the demand for trained Key Users continues to grow.

At Xamai, we know the importance of this role within each company, which is why we take care to directly train the Key User designated by the organization that decides to implement SAP.

You should know that our programs are designed not only to teach the use of the system, but to train internal leaders with a deep understanding of the business and with the ability to become true references within their team.

As you can see, the role of Key User of SAP is a highly sought-after position due to the presence of this ERP in companies of all types and sizes.
